Outlook 2007’s Quick part feature makes is easily, and to insert frequently used text and images into emails. Writing emails can be a tiresome business, incase when the same common parts of text have to be entered time after time. Then frequently entered in many type of text in to emails- address, telephone number and closing text. For sometime email ‘signatures’ have long been used to close the emails with standard text. MS 2007 introduced a new feature is called Quick parts. It can be used to insert graphics into emails.
Step 1:
Quick parts uses text and image brief extract, it referred to as building and it is possible to make as many of these as required. This stage, launching outlook 2007 and click the New button to create a new email message. We are just creating Building Blocks so the ‘To’ and subject field don’t need to be completed.
Click ->main body of email ->enter using accessible Quick parts ->a regular sign-off.
Step 2:
Now highlight the Text & move to the Insert tab of the office ribbon.
Click->Quick parts in the text section
Select ->Quick part Gallery from the menu. To fill the fields of create New Building Block displayed. To enter a meaningful name in the Name field. Quick part is selected from Gallery menu and use the category section to help organize any Building blocks that are created. It can prove useful, mainly this options menu can be used to indicate whether a building block inserted, added to a new page.
Step 3:
With this information entered click ok. Once a few Building Blocks have been created, and time to test. When writing an email, move to the insert tab and click the Quick parts button. It appears display a list of all the building blocks have been created, then preview make easier to identify. The Building blocks are displayed in alphabetical order and click an item and it will be automatically inserted.
Step 4:
It is also possible to insert Building blocks and assuming snippets have been assigning to meaning full labels. You can simplify type of some letters of the label and they press F3 key. A single Building block that has a name starting with the latter ‘a’, it is possible to press & followed by F3 to enter that text. Auto insertion feature will works depending on how Building block have been named.
Step 5:
If Building blocks need to be edited (or) deleted, that can be achieved using the Quick parts menu. To Click the Quick parts button and right-click an entry that needs adjustments. Click the ‘organize’ and ‘delete’ menu option. In simple way from Building block list selected and displayed then click the ‘Delete’ button. If there any need to be changed click the Edit properties button then making changes.
Step 6:
Building blocks can also be created and used in word 2007 in very much the same way. Produce word and click the office button followed by save as. To click the template folder enter a name and select word template from the ‘save as type’ menu before clicking OK. To select the template name from the ‘save in’ menu. Delete any message from the documents close it and save the changes.
